A proper turnover will ensure that you’ll save everyone a lot of stress, which will eventually reflect on your professionalism and efficiency. So, if you’re taking a long vacation, going on bed rest or maternity leave, or moving to another company, don’t just drop your work — make sure that you delegate your work properly.
Some tips are provided below so that when the best opportunity comes knocking at your door and you got the best Vacation package to Disney World, you’ll have no guilt and you’ll really enjoy your vacation with the whole family.
- List your daily/weekly tasks, even those simple tasks that you consider to be the smallest responsibilities that most people take for granted.
- Clearly identify the major projects, medium or long-term projects or accounts, and indicate the status for each.
- Make sure also that you have an alternate who can take over these projects from you. Get prior approval from your supervisor on who you can delegate your work to.
- Talk to your co-workers after getting approval from your supervisor.
- Put everything in writing. Send email to your co-workers, listing everything, like, who will be handling the projects and activities in your absence. This is much better and less confusing, because your co-workers will have an easy reference for when they need to know who to approach when they need something.
- Brief your alternate. Point her towards the files or the documents that she will need for the projects. Provide also the names and contact numbers of the people she’ll be talking to.
- Before you go, make sure that you update your boss on the status of each project you’re handling and the person who’ll be managing it in your absence. Make sure the files that she may ask for are readily available by leaving them on your desk or with someone you trust.
- Text or email your clients and other departments to inform them that you’ll be on leave and give the name and contact number of your alternate. Set-up your office e-mail to deliver an automatic message to whoever tries to reach you — just in case you forget to inform someone.
- When you get back, don’t forget to thank those who have assumed some of your responsibilities while you were away. This acknowledgment will send the message that even if you took time off for yourself, you’re still a team player.
